Frequently Asked Questions
When and where will the conference be held?
The 2015 HBES conference will be held in Columbia, Missouri, from May 27–30. On-site registration begins at 12:00pm on Wednesday, May 27, and the conference beings at 3:00pm.
Where have other HBES conferences been held?
The past few HBES conferences were held in Natal, Brazil, in 2014; Miami, Florida, in 2013; Albuquerque, New Mexico, in 2012; Montpellier, France, in 2011; Eugene, Oregon, in 2010. The 2016 conference will be in Vancouver, Canada.
What should first-time attendees expect?
The conference will have 400–500 people. During the general and symposia sessions, there will be 4–5 simultaneous sessions, each comprised of three or four 20-minute talks. In addition, there will be two plenary talks each day. The conference atmosphere is relaxed, and there will be many opportunities to meet and have discussions with other conference attendees. Each evening will be capped off with a social event. On Wednesday, there will be an opening reception before the evening plenary; on Thursday, a poster session and reception; on Friday, a BBQ; and on Saturday, a Banquet Dinner followed by the keynote lecture. Tickets to the BBQ and Banquet Dinner are not included with the Conference Registration.
How can I present my research?
If you would like to present your research at the conference, submit an abstract between January 15 and March 15. All abstracts will be reviewed by the Program Committee. Abstracts that do not meet professional standards will be rejected. First authors will be notified of the status of their submissions by e-mail on or after April 1, 2015.
Will HBES help finance my travel?
The Society has set aside funds to support the travel of conference attendees with financial hardships. During the registration process, you will have an opportunity to request travel support and to provide a justification. At this point, however, we cannot guarantee how much support any particular applicant will receive.
What is the payment and refund policy?
Payment will be collected by credit card at the time of registration. To cancel your registration, you must contact us no later than May 1, 2015. If you cancel before this date, we will refund your registration less a 30% cancelation fee. Refunds for cancelations made after May 1 are not guaranteed.
What will the weather be like?
The temperature in May should be pleasant, with a high of 75 degrees F (24 C) and a low of 60 degrees F (16 C). There is quite a bit of variation, so the high could climb up to 85 degrees F (29 C) and the low could go down to 50 degrees F (10 C). It can get quite humid in late May. And there is a good chance of rain on any given day, so bring an umbrella.
What if I don't register ahead of time?
If you don't register online by May 10, you can still register for the conference on-site during the first day of the conference. However, if you register on-site, you will not be able to purchase a ticket for either the BBQ or the Banquet Dinner. The caterers need a final head count three weeks before the event. If you would like to attend either the Banquet Dinner or the BBQ, you must register for the conference online by May 12.
Can I listen to the Keynote without attending the Banquet?
Yes. Unlike some past meetings, the Keynote Lecture will be held in a different room from the banquet hall, and will be open to all HBES attendees. We will, however, announce all the awards during the Banquet Dinner.
Are there a limited number of banquet tickets?
Yes. The banquet hall can only seat 350 people. Register early if you would like to ensure a seat.
Are non-student registrations subsidizing student registration costs?
No. This year, the Society is covering all of the costs for students to attend the conference. The money collected from non-student registration payments is not being used to subsidize student registration costs.
